Sensor validation and calibration log
Keep raw observations, reference evidence and maintenance decisions separate. Record quantity, unit, UTC time, conditions, missing data and drift concerns without implying a calibration certificate.
Practical resource · By Admin · Version 1.0 · Reviewed 20 October 2026.
A plausible reading is not sufficient evidence of measurement quality. This blank workbook helps you preserve what was observed, identify the comparison reference and record the subsequent review. It does not correct readings, establish traceability or certify accuracy.

Three editable worksheets: 30 observation rows, 20 reference rows and 30 review/maintenance rows. Includes native tables, filters, frozen headers, status choices and date/time formats. No macros or external data connections.
Preserve the measurement and its context
Keep raw observations unchanged
Record one observation per row with an internal series and sensor ID, exact version, UTC time, measured quantity, unit and raw value. Keep a missing observation blank and give its reason; do not replace an unknown reading with zero.
Identify the reference
Use a Reference ID to link to the instrument, documented quantity and unit, range, resolution/uncertainty notes, specification or certificate evidence and validity dates. Compare only matching quantities and units. Keep unavailable reference evidence explicit.
Separate review from measurement
Record the review criterion and its source, drift or missing-data concern, action/procedure reference, before/after evidence IDs, owner role and next review. Manual status labels do not calculate an accuracy verdict or constitute a calibration procedure.
From an observation to an accountable review
1 · Define the measurement series
Save your own copy. Use a stable Series ID for observations of the same defined quantity and unit. Record the sensor identity/version and the conditions, including stabilization or other limits relevant to the procedure you are following.
2 · Register the comparison reference
On Reference register, create the matching Reference ID. Record the exact instrument/version and available evidence. Keep the evidence date separate from a stated validity date. A comparison by itself does not establish metrological traceability.
3 · Preserve each raw observation
On Observation log, enter sensor and reference readings only when observed, with UTC time, conditions, evidence file/URL and reviewer role. Leave absent values blank and explain the missing-data reason. Store any derived corrections separately from this raw record.
4 · Document review and maintenance
On Review and maintenance, link the Series ID and state the criterion/source, concern, action and evidence. Use a suitable procedure and qualified reference for any calibration adjustment. Keep the original readings, limitations and review decision available after an action.
A record, not a certificate
The workbook supplies no tolerance, uncertainty calculation, calibration method, safety approval or automatic correction. Use procedures, competent review and reference evidence appropriate to the actual measurement. No physical sensor or reference instrument was tested for this release.
Check your spreadsheet app
Open a copy in an XLSX-compatible app. Check filters, frozen headers, status choices and date/time display. Observation and review times are labelled UTC: enter the intended UTC time. Match IDs across sheets manually. Microsoft Excel desktop has not been tested for this release.
